Travel and Accommodations

 

Flights

When booking flights, please plan to arrive at Spokane International Airport (GEG) by 4 p.m. on Tuesday, August 20 and depart any time on Saturday, August 24. 
 
Transportation to and from Spokane International Airport and the Davenport hotel will be provided on the specified event arrival and departure dates, including August 19 for those who have been approved for an early arrival based on flight patterns. If you have been approved for an early arrival, it will be noted on your stipend quote email for those who are self-booking. For those booking with our travel agency, the agent will determine if you have been approved for early arrival based on your flight pattern.

Incidental costs during travel or transportation outside of the arrival and departure dates are the responsibility of the qualifier. 
 
Self-booking
You may choose to book your own flight and receive a flight stipend that will be reimbursed to you after the event has concluded. Flight stipend amounts will be based on your departure airport. The full stipend amount will be paid regardless of the cost of the flight booked, whether it is more or less than the stipend amount. We recommend booking your flights early to mitigate the risk of paying more than the stipend amount provided.

Your individual flight stipend amount will be emailed to you by Friday, May 31.

Please note that all flight stipend amounts include a pre-determined allowance for luggage fees. No additional reimbursements will be given for luggage expenses.

Once your flights have been booked for you and your eligible guest, please click here to upload your flight itinerary, banking information, and receipts by Friday, July 12. This will ensure that we have accounted for your ground transportation needs to and from Spokane International Airport (GEG). If you choose to book your own flights and receive a flight stipend, Young Living will not reimburse you for any amount if you cancel your registration, regardless of the date your registration is cancelled.

You must upload your itinerary, banking information and receipts for your flight stipend reimbursement to be processed and paid.

When you upload your flight itinerary and receipts, you will be asked in a secure section of the form to provide banking information. Flight stipends will be sent to members through Wire Transfers or ACH payments. You must enter your correct banking information to receive a reimbursement. (US/Canada members will have the option to request a physical check be mailed out rather than an online transfer. Physical checks are a much slower return).

After you officially check in at the event in August, Young Living will start the process of reimbursements. All online reimbursements will be paid by September 20, 2024. If you do not receive the quoted flight stipend in your account by September 20, 2024, and you have uploaded your receipts, please email travelrequests@youngliving.com.

Agent-booking
If you wish to have a travel agency coordinate your travel arrangements for you and your eligible guest (if applicable), please click “Yes” and fill out a flight request during registration.

Within approximately three-four weeks following registration, the travel agency will contact you to coordinate your travel arrangements. Please respond to the agent within 24 hours to avoid increased fares or flights selling out. Please do not contact the travel agency directly prior to an agent reaching out to you regarding Gold Retreat flights. If the travel agency will be booking any guest’s flights, a credit card will be required at the time of booking.

If you choose to utilize the travel agency to book your air travel, they will include the cost of luggage (1 piece covered per person/per direction) in your reservation. If your ticket does not allow luggage to be added at booking, Young Living will reimburse you for up to 1 piece of luggage, per direction. After the event has concluded, you will receive a form that will allow you to submit your luggage receipts. This reimbursement will be included in your September commission check. No additional reimbursements will be given for luggage expenses.

If your desired travel itinerary has additional stops outside of Spokane, you will be required to book flights on your own and receive a reimbursement.

 

Car Transportation

If you elect to drive to 2024 Gold Retreat, please select this in the registration process. Following registration, we will email you a driving stipend based on your origin city. You will receive a standard mileage rate reimbursement or the equivalent of a flight to/from the airport nearest you, whichever amount is less. Following the retreat, you will be asked to submit gas receipts and banking information. You will receive the reimbursement amount through Wire Transfers or ACH payments. You must enter your correct banking information to receive a reimbursement. (US/Canada members will have the option to request a physical check be mailed out rather than an online transfer. Physical checks are a much slower return.) Young Living does not cover the cost of tolls, parking, or additional driving-related expenses.

 

Hotel Accommodations

Attendees and their eligible guest* will stay at the Davenport Grand Hotel in Spokane, Washington during the event, checking in on Tuesday, August 20 and checking out on August 24. Attendees who have been approved for an early arrival due to flight patterns can check-in to the Davenport Grand Hotel on Monday, August 19.

If you and/or your guest wish to extend your stay, you are welcome to take advantage of Young Living’s special room rate ($179 plus taxes and fees) for three days prior to and three days after the event dates. Outside of these dates, your room will be subject to prevailing rates. Any nights stayed outside of August 20–24 will be at your own cost and based on availability at the hotel, with the exception of those whose flights require and are approved for early arrival due to flight patterns.

Please note that if there are flight opportunities that allow you to arrive by 4 p.m. on Tuesday, August 20 but you choose another flight, you will not qualify for an early arrival, and will be responsible to pay for your room night on August 19. Young Living will not cover additional expenses for early arrivals or late departures outside of these parameters. If you choose to extend your stay, Young Living will cover the flight cost only if there is no increase in the fare due to the changed dates.

If you wish to extend your stay, please submit your request in the registration process by Friday, May 19, 2024.

 

Ground Transportation

Young Living will cover the cost of ground transportation, specified meals, and hotel accommodations during the event dates only. If you arrive or depart outside of the designated dates of arrivals on August 20 (or August 19 for those who qualify and are approved for early arrival) and departures on August 24, ground transportation to and from the hotel will not be arranged or covered by Young Living.

If you wish to extend your stay, please submit your request during the registration process. Otherwise, please email travelrequests@youngliving.com with your desired dates by Friday, May 24. The Young Living Events team will submit the request on your behalf and inform you if it can be accommodated. If you choose to book your flights through our travel agency and have requested an extended stay, an agent will not contact you until your hotel request has been approved by the Young Living Events team.
